Data & Systems Committee

Mission:

Data & Systems Committee is responsible for leading the CoC Board’s efforts to maintain and improve its HMIS and Coordinated Entry data collection systems.  This includes ongoing modifications and continuous quality improvements in these systems to address new HUD requirements, improve efficiency and ensure maximum client participation in the Coordinated Entry process.   The Committee is also responsible for maintaining and enhancing the systems’ ability to track outcomes to strengthen the CoC Board’s decision making.

Specific Responsibilities:

·         Design, implementation and quality control of the CoC’s HMIS and Coordinated Entry data collection systems (the “systems”) including ClientTrak

·         Approval of any modifications to the systems including enhancements necessary to comply with HUD regulations or other needs of the CoC

·         Conducting quarterly meetings of all system users to provide updates on system issues, enhancements or changes and answer user questions.

·         Developing and delivering training on the systems for users.

 Organizational Matters:

The Committee shall consist of the CoC Co-Chairs, the CoC’s HMIS Administrator, at least one representative from the CoC Administrative Team, at least one Coordinated Entry Program Administrator, and representatives from at least 3 provider agencies who have HMIS responsibilities. 

The Committee shall meet quarterly (in addition to the quarterly meetings it hosts for all system users) and at such other times as the Committee Co-Chairs shall deem appropriate – either in person or virtually.
